Management clients onboarding check list

Welcome! We're excited to work with you!

To begin, we will need you to provide some personal details, property details, as well as other helpful information necessary to ensure seamless onboarding of your property.

Below you will find several steps to be completed, along with details of the information needed in each step. If you need any assistance, please feel free to reach out to us at owners@hihoward.com or 646-791-3865.

Please complete the following steps in order:

Step 1: Sign the management agreement

You will receive a link to the agreement in an email, with a request asking you to electronically sign the agreement. Please electronically sign and submit the agreement after reviewing.

Step 2: Client info

Please complete the form using this link. You will need the following items to complete this form:

  • Bank name
  • Account holder name
  • Bank account and routing number where you would like payment sent

Step 3: OTA logins

Please complete the form using this link. You will need the following items to complete this form:

  • Logins for all OTA accounts with positive reviews, including Airbnb, Booking.com, etc.
Only submit OTA accounts with positive reviews that you want to keep using. If these are new properties, we will handle account and listing creation.

Step 4: Leases and Insurance

You will receive an email with a link to a Google Drive folder for you to upload these documents. You will need the following items to complete this step:

  • Lease agreement for each property (electronic copy)
  • Insurance policy for each property (electronic copy)

Please upload the agreements in the folder of the respective property. For example, if you are uploading the lease for 1 Main St Apt 1, you should navigate to the 1 Main St folder -> Apt 1 folder -> Lease folder and upload the lease there.

If you don't have insurance, please let us know and we can refer you to an insurance provider.

Step 5: Property info

Please complete the form using this link. You will need the following items to complete this form:

  • Property mailing address
  • Owner or building manager name, phone, and email
  • Repairs the building owner or manager is responsible for
  • How guests currently access the unit
  • Are locks able to be changed on the building and unit?

Step 6: Photos

You will upload these in the Google Drive folder we share with you. The photos should be uploaded to the photos folder under each address or unit. You will need the following items to complete this step:

  • Professional photos (if you have them)
  • Floor plans (if you have them)
If you do not have professional photos or want better photos, please let us know and we can arrange photography for an additional fee.

Step 7: Utility logins

Please complete the form using this link. You will need the following items to complete this form:

  • Website link for each utility provider you are responsible for in your lease
  • Username and password for each utility provider
If this is a new property, you will need to create these accounts in order to complete this section.

Step 8: Complete W-9

Please complete the W-9 at this link. You will need the following items to complete this form:

  • SSN or EIN
  • Business name if you are a disregarded entity
